Job Description

Responsibilities

Office Management

  • Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
  • Adhere to office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
  • Work closely with Singapore HQ ensure compliance and accomplishing related results as needed.
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.

 

Procurement Management

  • Maintaining relationships with suppliers while continually sourcing for quality vendors to support business needs.
  • Evaluating spending operations while seeking ways to improve and enhance the value of products purchased, ensuring the quality and the timeliness of deliveries.
  • Communicating with management regularly regarding the efficient flow of goods and services affecting the business.
  • Working closely with the restaurant manager and head chef to meet the targets set for the business and to resolve any day-to-day operational issues.

 

Requirements

  • Relevant experience in service and hospitality industry will be added advantage.
  • Proven office management and administrative experience.
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills. The ability to speak Mandarin / Cantonese will be a must.
  • Strong organizational and planning skills.
  • Proficient in MS Office and ERP systems.
  • Knowledge of human resources management practices and procedures.
